You need to see revenue by rep this quarter, or filter out leads that haven’t been contacted in over 3 days, but Salesforce’s default reports don’t show exactly what you need. The first instinct for a lot of SMBs is to message the IT team or implementation partner, then wait a few days for a report that should have taken minutes to build yourself.
The short answer: building a custom report in Salesforce doesn’t require writing code or complex formulas. With the built-in Report Builder tool, anyone can build the exact report they need in about 5 minutes.

The misconception
Why So Many SMBs Assume They Need To Outsource Reports
This assumption usually comes from experience with other management software, where any non-standard report requires a developer to write a database query or a custom script. Looking at Salesforce with its interface that seems complex at first glance, full of tabs and data fields, a lot of people assume customizing reports must be just as difficult.
Another reason this misconception sticks around is that during the first Salesforce rollout, most initial reports are usually pre-built by the implementation partner, so the end user never gets the chance to open Report Builder themselves. When a new report is needed, the natural instinct is to go back to whoever built the old ones, even though they could now easily do it themselves.
In reality, Salesforce separates two things: advanced configuration like process automation, data permissions, or external system integration usually does need technical skill, but report building was designed for regular users from the start, requiring no programming knowledge or database expertise.
The basics
What Report Builder Is
Report Builder is a drag-and-drop tool built into Salesforce that lets users choose what data to view, how to group and filter it, then display it as a table, a chart, or both. All of this happens through a visual interface, no code required.
The tool works around the concept of a “report type,” the underlying data source a report is built on. Salesforce ships with dozens of standard report types for common objects like Opportunities, Leads, Accounts, and Cases, and lets admins create custom report types when data from multiple related objects needs to be combined.
Another strength of Report Builder is that the data always updates in real time. Unlike exporting an Excel file and having to re-export it every time you need fresh numbers, a saved Salesforce report automatically reflects the latest data every time it’s opened, no manual steps needed.
Once built, a report can be saved for repeated use, shared with others on the team according to their permissions, or scheduled to be automatically emailed weekly or monthly, without ever having to reopen Report Builder just to check the numbers.
The real demo
5 Steps To Build A Custom Report In 5 Minutes
Open Report Builder and pick a report type
- From the top navigation bar, click the Reports tab
- Click New Report in the top-right corner
- Type the object name into the search box, e.g. “Opportunities” for a revenue report, or “Leads” for an enrollment report
- If you see multiple variants (Opportunities, Opportunities with Products…), pick the basic one unless you need related complex data
- Click Start Report to enter the editor
Drag and drop the fields you want to see
- The Outline panel on the left lists every available field (Amount, Stage, Close Date, Owner…)
- Type a field name into the search box above the Outline panel, e.g. “Amount”
- Drag it into the preview table in the middle, or click the + icon next to the field name
- To remove a column: hover over the column header → click the arrow (▼) → select Remove Column
- To reorder columns: drag the column header left or right
Add filter conditions
- Switch to the Filters tab in the left Outline panel
- The “Show Me” option: quickly pick “My opportunities,” “My team’s,” or “All”
- The date filter: change the default to “Current Quarter”, “Current FY,” or Custom to enter your own dates
- Click Add Filter → pick a field (e.g. Amount) → pick an operator (greater than, equals…) → enter a value (e.g. 50,000,000)
- You can add multiple filters, combined by “AND” by default (switch to “OR” under Filter Logic if needed)
Group data and pick a display format
- Choose a format: Tabular (flat list), Summary (grouped with subtotals), or Matrix (grouped by both rows and columns)
- For Summary/Matrix: drag a field (e.g. “Owner”) into the “Drop a field here to group” area
- To add a chart: click Add Chart in the top right, pick a type (Bar, Pie, Line, Donut), assign fields to each axis
- Click Run Report anytime to preview the real results
Save and share the report
- Click Save & Run in the top right
- Give it a clear name, e.g. “Revenue by Rep – Q3 2026,” instead of leaving the default
- Save to a shared folder (Public Folder / team folder) instead of “My Personal Reports” if you need to share it
- Click the lock icon next to the folder name to set view/edit permissions for individuals or groups
- To get it automatically by email: open the saved report → click Subscribe → set frequency and delivery conditions
Common mistakes
3 Common Mistakes When Building Your First Reports
Picking the wrong report type from the start: a lot of people accidentally pick a more complex variant (like “Opportunities with Products”) when they just need basic deal data, which causes confusingly duplicated rows. If numbers look strangely off, the first thing to check is whether the right report type was selected.
Forgetting to reset the “Show Me” filter: since the default is usually “My opportunities,” a lot of people finish a report and can’t figure out why a colleague’s data is missing, when switching to “My team’s” or “All” would have solved it.
Saving to a personal folder, then wondering why colleagues can’t see it: this is the most common mistake when building a report meant for the whole team. Always double-check the save folder as the last step before telling anyone the report is ready.
Use cases
The Report Types SMBs Need Most
The most common is revenue by rep or by deal stage, letting a sales manager quickly see who has the most deals about to close and who needs support. This type usually uses the Matrix format, grouping by both rep and stage at once for a cross-comparison in a single table.
Next is a report on leads not contacted within a set window, useful for catching leads that are slipping through the cracks. This usually combines a filter on lead creation date with a condition like “no activity logged,” pinpointing exactly which leads have been forgotten.
Another type often overlooked is performance by enrollment or marketing channel, answering which channel is driving the best conversion without waiting for marketing to compile it manually. This report needs the Lead Source field to be properly captured from the moment a lead enters the system.
Finally, there’s monthly or quarterly revenue forecasting, usually paired with a line chart to see the trend over time, instead of just a static total at one point.
The limits
When You Still Need Technical Support
Report Builder handles most day-to-day reporting needs well, but it hits a limit when you need to combine data from multiple objects with no direct link between them, like merging enrollment data with tuition payment data if the two tables have never been connected in the system.
Another case that needs technical support is when a calculation requires multiple steps, like a weighted conversion rate by product type, going beyond the simple sums and averages Report Builder supports out of the box.
In those cases, getting help from the IT team or implementation partner still makes sense, but it should be the exception, not the rule. If what you need is a specific feature rather than just a report, this piece on Einstein AI in Salesforce is worth checking to see what the system already supports before thinking about outsourcing.
Most of the reports SMBs think they need to outsource actually take just minutes to build with Report Builder. The biggest barrier isn’t the tool’s difficulty, it’s never having tried opening it.
